Collect fields

  1. Add the card and its fields
  2. Choose what happens next
  3. Read details instead of asking
  4. Use the answers

The Collect fields card has the AI assistant ask the customer for the details you need, one at a time, and saves each answer for the rest of the flow.

Add the card and its fields

  1. In the builder, select Add step and pick Collect fields.
  2. Click the card. In Instructions, describe this step’s task. The field list is added for you, so you do not need to repeat it.
  3. Under Fields, type a name in Add a field, e.g. Company size and select Add. Use + First name, + Last name and + Email for details that should also be saved to the lead record.
  4. Open a field to set its Label, its Type (Text, Email, Phone, Number or Choice) and How to collect it. A Choice field also needs Choices, separated by commas.
  5. Drag the fields into the order in which you want the assistant to ask for the details.
  6. Select Done.

Choose what happens next

Connect both outcomes on the canvas:

  • collected: every field is filled in.
  • not collected: the customer’s replies stopped adding anything new. Anything already saved is kept, so a later card can still use it.

Max Reprompts sets how many replies that capture nothing new are allowed before not collected. If you leave the field empty, one such reply is allowed. A reply that fills in a field does not count towards this limit.

When The Last Field Is In sets how the card finishes:

  • Reply, then continue: the assistant confirms, then the next card runs.
  • Reply, then wait: the assistant confirms, then waits for the customer’s next message.
  • Continue, no reply: nothing is sent, and the next card sends the next message.

To let a customer move to another step before all the details are collected, for example by saying “I want to speak to a person”, select Add intent under Leave This Card When The Customer…. Each intent adds its own outcome. Connect it to a card that replies.

Caution This card has no outcome for silence. What happens when a customer stops replying is set by Remind quiet customers in Flow settings, not on the card.

Read details instead of asking

If the details are already in the conversation, set Where the answers come from to Read what is there. The assistant saves whatever it finds and moves on at once. It asks nothing and sends nothing.

A card in this mode cannot have intents.

Use the answers

In a later card, insert a saved answer with Insert a variable, or type the variable yourself. A field named Company size becomes {{ collected.company_size }}. You can also branch on an answer with a Conditional card.

Your team can see the answers under Collected by the AI in the conversation.

Caution This card needs a conversation in order to send messages. If a Webhook or WordPress form trigger starts the flow, turn on Start a conversation in the trigger’s settings, or the flow cannot go live.
